GET STARTED CLICKING TO POWER DIAL, SEND TEMPLATE AUTO-PERSONALIZED EMAIL AND SMS TEXT IN 3 EASY STEPS!

 
 

First Is Our “Expert” Abridged Summary: (See the FULL version here!)
 

STEP 1) Basic Recommended Setup:

Click on “Settings” from the main screen. If a setting is not mention below, you can leave it at the default or make any change you’d like.

a) Retry Settings

1. Maximum Tries: 3-5, we recommend 4 min now. (Be sure it’s tracking proper.)

2. Busy Retry Interval: 15 minutes. (It’s up to you.)

3. Voicemail / No Answer Retry: recommended 2 to 24 hours. (This setting is important and depends whether you might want to queue up prospects again a few hours later or not until the next day.)

b) Dialer Settings

1. Dialer Operation mode: Must Use Preview Mode!

2. Skip Call Disposition and Results Screen…“NO!” If this is YES then you won’t be able to set appointments, send email or send text msgs after each call!

3. “Pause between calls:” Leave at 7 or change to any number you want.

4. “Announce caller name before…” Probably uncheck, but it’s up to you.

5. “Use SIP to make calls” UNCHECK, unneeded.

c) Call Disposition Setting

1. All disposition buttons are customizable! You can leave as default, change them or add more. These describe the general result of a call to categorize each prospect. I.e. Very interested, Somewhat excited, Lukewarm, Not now, More follow-up, Not interested, etc.

 
d) Customize Your email and SMS Text Templates

d.1) Click on “Email/SMS template settings” and you’ll see 3 sets of an email body, email subjects, and SMS templates, so 3 email and 3 SMS, total.

If you need more than 3 Templates the Jbak Keyboard is an extraordinary well liked option with 4.5/5.0 star rating and nearly 1 million downloads! Among many useful features, Jbak offers easy access to multi-clipboard and templates.

Here are a few more mobile clipboard mgr. apps to assist with text msgs and potentially email msgs if you need more than 3 templates, AND for additional custom messages sent to prospects that you JUST connected with directly over the phone!

d.2) Crucial Point: TEST this to see if this issue affects YOUR phone. Most phones, using this app, require that you send sms text msg templates, UNDER 160 total characters. Unlike many of today’s text apps, this app often has trouble sending MMS text msgs.

FYI if this affects you, either your test SMS message will revert to the default msg “Hello @firstName, Please update SMS template under settings…” when you receive it, EVEN AFTER EDITING THE TEMPLATE, OR the SMS msg will just NOT send.

 

d.3) Both email and SMS channel templates offer automatic personalization merge tags! (i.e. @FirstName, @LastName, @email, @Company, @HomePhone)

 

d.4) Our proven content to use in your email and SMS templates is available! Just send us an email reminder, if you need access.

Then you’ll simply copy and paste our content into your email program or any TEXT editor, make your changes, and copy/paste into the app! Just follow our directions and be sure to add some of your own personality! Or edit from your computer, email the content to your phone one last copy/paste and never have to do it again!

Note: You do need to have a working email app like Gmail, Outlook, Google, Yahoo, Windows or a native phone email app to send email from Ultimate Sales Dialer.

 

d.5) The 4th Referral Template includes a referral Phone# and email field so you can forward any prospect lead with all the details to any designated person!

 

d.6) Be very careful of your line-breaks (carriage returns) in your email template messages. Check by sending all messages as a test and adjust accordingly. The lines may look off a bit in the app, but it only matters how they look in your received email.

Here’s the deal. We KNOW how important it is to send these types of initial email msgs as TEXT format only. This creates one problem. No HTML means that there’s no way to control the WIDTH of your message lines, other than a hard carriage return.
 
We also KNOW it’s NEVER a good idea to let your message lines to wrap the FULL width of your recipient’s email viewer! For decades we’ve found the 60 character limit works best in desktop and webmail clients. This is because there’s really no limit to how long (wide) your lines of text can run in most view windows or preview panes. And traversing from the end of one long line to the beginning of another is often too much visual work for reading or effective scanning, so lines over 60 characters eventually become unreadable!
 
Enter the problem; MOBILE DEVICES. Today, with around HALF your email being viewed on a MOBILE device, not to mention email open rates on MOBILE devices growing past desktop devices, WE’RE FORCED TO MAKE A CHANGE IN OUR RECOMMENDATIONS AND OUR OWN USAGE NOW! Here’s the dilemma. Our 60 character limit works perfect on desktop and webmail clients, but awkward and jumbled on MOBILE devices, often with screen width limitations of about 40 characters!
 
SOLUTION: Rather than eliminating hard carriage returns, that would look great on MOBILE devices and nearly UNREADABLE long text lines on all other platforms, we recommend reducing your line width (using hard carriage returns) to 40-42 characters from 60! This way your text format will look perfect on MOBILE devices and still work fine for all other devices! We’ve fully tested this on many different MOBILE devices. Our MOBILE open rates have greatly increased since and desktop email open rates have stayed consistent!
 
 

I also can’t stress enough how crucial it is you’re sending proper templated content SMS text and leaving the best possible voicemail, pushing prospects to the ALL-IMPORTANT proper templated email and not missing ANY key points you must address; offering empathy, value and your clear willingness (and ability) to help, etc. We have everything you need, no worries.

STEP 2) Send Yourself a TEST Email, SMS Text and Try The Process.

Be sure you ALWAYS include yourself in a campaign initially to send yourself all your email and SMS messages as a TEST before sending live!

 

a) Click on the top button, “Create/Edit Campaigns and Contacts.” There’s already a test campaign in there.

b) Click on the default test campaign where it says ACTIVE.

c) Then click on the first contact.

d) Editing a Contact Record: Change the name, phone and email for the first contact and THEN CLICK UPDATE. (If you don’t click UPDATE, you will LOSE all your changes!)

Note: If you make a mistake or just repeat testing and yours or any contact’s removed from queue after your initial test call, you can click the “RESET” button for a contact and they’ll be ACTIVE again in the queue. You can also “RESET ALL CONTACTS” for any campaign. Just know the app will lose track of call attempts if you’re tracking to only call each prospect 3 or 4 times max.

e) Click the 2nd button “Launch a Campaign” from the Main Menu: Your record should be in the first position. If it’s not, just click “Skip” until you see your record and then click “Dial Now” and hang up.

f) VERY IMPORTANT STEP: On the first “Results Screen” after ending your call, you MUST select the “Answered” button. If you select any button other than “Answered” here the app will skip right to the next contact to dial!

g) See the NEXT “Results Screen.” You’re able to complete any actions from the previous screen, and more, like sending template email and SMS text messages. All your custom dispositions are available under the “Call Outcome” dropdown, add a contact to the “Do Not Call” list, edit Notes, Update the contact record and “Reschedule” call options below.

Once you leave a voicemail, send email and SMS text, there’s no need to reschedule a call, just click DONE. Depending on your settings they will go back in queue within the appropriate amount of time.

h) “Reschedule” options: Notice you can check a box to create an event in your device calendar app too. You can easily reschedule a specific callback time with one click or use day and time rollers to setup a specific time that the contact will be added back into the call queue.

 
 

STEP 3) Now Import Your Prospect Leads!

ATTENTION: Please email me now, so I can begin sending you an EXTRA daily file, ready to import right into the app without any changes at all!
 

The app has handy predefined folders for Clients, Prospects, Leads and allows you to create custom folders. This helps you group your campaigns (daily lead files) into subgroups to stay organized. More details in a moment.

1) The EASIEST way is email your lead file to your phone and download the file to your device DOWNLOAD folder.

 

2) Open the “Ultimate Sales Dialer” and Click “Create/Edit Campaigns and Contacts” then “Create New Campaign”.

3) Click “Browse”, open the DOWNLOAD folder, find the .CSV file and choose the PRIVATE option to keep contacts separate from your device Contact’s App!

Do NOT use Import/Sync Contacts from Contact Group – IF you want to keep your prospect leads separate from your device Contact’s App; again be sure to choose the PRIVATE option.

 

4) Skip The Mapper! Don’t get me wrong, the “Field Mapper” is cool, but it’s ONLY useful when you import “other” contacts or past leads, because our lead files are READY to import, “as-is”!

5) Notice that the “New Campaign” Name is the Filename that we use. See a sample File (Campaign) name below. This makes it easy to keep track of your daily campaigns! (You can edit the name before importing if needed.)

File (Campaign) Names: “[Day][Month][Date]-[##].CSV” (i.e. ThuDec01-79.csv)

6) You can set appropriate start and end date OR leave it set at the recommended one month time period.

7) Now just scroll to the bottom and select “Create and Load Contacts”!

NOW YOU’RE READY TO ROLL! JUST TO RUN A CAMPAIGN AND START CALLING, SENDING EMAIL AND SMS!

1) Please view settings again and make any final adjustments necessary.

2) Choose “Launch Campaign” from main page, when you’re ready to dial your contacts.

3) Select the campaign you want. They should be in chronological order. Any contacts that you’ve already contacted 3 or 4 times (depending on your main settings) won’t even queue up!

If you’ve called all contacts in a “Campaign” the minimum times, no contacts will be “Active”, so the entire campaign won’t be “Active”! (Again if you need to make all or any contacts “Active” again, from “Create/Edit Campaigns and Contacts” click the “RESET” button for a contact or “RESET ALL CONTACTS” for any campaign.)

4) Click the first Contact and click “Dial Now!”

After you’ve completed a call, click “Answered.” All the options on the first “Results Screen” will be on the next screen and more!

On the next “Results Screen” you can add notes, dispositions – call result & click to send your template email and SMS text and more! (See step 2 below for more details.)

Then you’ll simply copy and paste our content into your email program or any TEXT editor, make your changes, and copy/paste into the app! Just follow our directions and be sure to add some of your own personality! Or edit from your computer, email the content to your phone one last copy/paste and never have to do it again!

Note: You do need to have a working email app like Gmail, Outlook, Google, Yahoo, Windows or a native phone email app to send email from Ultimate Sales Dialer.

 

d.5) The 4th Referral Template, seen below, includes a referral Phone# and email field so you can forward any prospect lead with all the details to ANY designated person!


 

d.6) Be very careful of your line-breaks (carriage returns) in your email messages. Check by sending all email messages as a test and view in your email program and adjust accordingly. (See how to send test messages below). The lines may look off a bit in the app, but it only matters how they look in your received email.

IMPORTANT UPDATE: Why and how to properly use line-breaks (carriage returns) in your email!
 
Here’s the deal. We KNOW how important it is to send these type of initial email msgs as TEXT format only. This creates one problem. No HTML means that there’s no way to control the WIDTH of your message lines, other than a hard carriage return.
 
We also KNOW it’s NEVER a good idea to let your message lines to wrap the FULL width of your recipient’s email viewer! For decades we’ve found the 60 character limit works best in desktop and webmail clients. This is because there’s really no limit to how long (wide) your lines of text can run in most view windows or preview panes. And traversing from the end of one long line to the beginning of another is often too much visual work for reading or effective scanning, so lines over 60 characters eventually become unreadable!
 
Enter the problem. MOBILE DEVICES. Today, with around HALF your email being viewed on a MOBILE device, not to mention email open rates on MOBILE devices growing past desktop devices, WE’RE FORCED TO MAKE A CHANGE IN OUR RECOMMENDATIONS AND OUR OWN USAGE NOW! Here’s the dilemma. Our 60 character limit works perfect on desktop and webmail clients, but awkward and jumbled on MOBILE devices, often with screen width limitations of about 40 characters!
 
SOLUTION: Rather than eliminating hard carriage returns, that would look great on MOBILE devices and nearly UNREADABLE long text lines on all other platforms, we recommend reducing your line width (using hard carriage returns) to 40-42 characters from 60! This way your text format will look perfect on MOBILE devices and still work fine for all other devices! We’ve fully tested this on many different MOBILE devices. Our MOBILE open rates have greatly increased since and desktop email open rates have stayed consistent!
 
 

I also can’t stress enough how crucial it is you’re sending proper templated content SMS text and leaving the best possible voicemail, pushing prospects to the ALL-IMPORTANT proper templated email and not missing ANY key points you must address; offering empathy, value and your clear willingness (and ability) to help, etc. We have everything you need, no worries.

STEP 2) Send Yourself a TEST Email, SMS Text and Try The Process.

Be sure you ALWAYS include yourself in a campaign initially to send yourself all your email and SMS messages as a TEST before sending live!

 

<< a) Click on the top button, “Create/Edit Campaigns and Contacts.” There’s already one test campaign in there.

 

 

 

 

 

 

 

 

 

 

 

b) Click on the default test campaign where it says ACTIVE.

 

 

 

 

 

 

 

 

 

 

 

c) Then click on the first contact.

 

Note: At any point if you make a mistake or just repeat testing and yours or any contact’s attempts expire and removed from queue after your initial test call and won’t come up in queue again, you can click the “RESET” button for a contact and they’ll be ACTIVE again in the queue (See contact record in image below).

You can also “RESET ALL CONTACTS” for any campaign (See the image to the left). Just know the app will lose track of call attempts if you’re tracking to only call each prospect 3 or 4 times max, but does not affect any changes to contact fields.

 

 

 

 

 

 

d) Editing a Contact Record: Now change the name, phone and email for the first contact and THEN CLICK UPDATE. This is IMPORTANT!

If you edit a contact record, like adding very important NOTES, and you click your BACK button from this screen without clicking UPDATE, you will LOSE all your changes, gone, for good!

 

 

 

 

 

 

 

 

 

e) Launch The Test Campaign

Now you can click the 2nd button “Launch a Campaign” from the Main Menu.

Your record should be in the first position. If it’s not, just click “Skip” until you see your record and then click “Dial Now” and hang up.

 

 

 

 

 

 

 

 

f) VERY IMPORTANT STEP:

On the first “Results Screen” after ending your call, you MUST select the “Answered” button. (See the image to the left and the white circle.) If you select any button other than “Answered” here the app will skip right to the next contact to dial!

 

 

 

 

 

 

 

 

 

g) See the NEXT “Results Screen”

(See the image to the left.) Here you’re able to complete any actions from the previous screen anyway, and more, like sending template email and SMS text messages.

All your custom dispositions are available from this “Results Screen” under the “Call Outcome” dropdown above the Notes area. Remember you can customize any of these one-touch dispositions “Call Outcomes” from your settings we covered earlier.

You can also still add a contact to the “Do Not Call” list, edit Notes, Update the contact record and in the image below see the various “Reschedule” call options. If you leave a voicemail and sent your email and SMS text, there’s no need to reschedule a call, just click DONE. Depending on your settings they will go back in queue within the appropriate amount of time.

 

 

 

h) See the “Reschedule” screen to the left.

First notice that you can simply check a box to create an event in your device calendar app too with the same details with two clicks. You can also easily reschedule a specific callback time with one click if you select 15 minutes, 1 hour or 1 day.

You can also use the app calendar, day and time rollers to setup a specific time that the contact will be added back into the call queue.

 

 

 

 

 

 

 

 

 

 

 

 

   

STEP 3) Now Import Your Prospect Leads!

Now You’re ready to import our prospect lead files FAST and get started! That was easy, yes?

ATTENTION: Please email me now, so I can begin sending you an EXTRA daily file, ready to import right into the app without any changes at all!

The app has handy predefined folders for Clients, Prospects, Leads and allows you to create custom folders. This helps you group your campaigns (daily lead files) into subgroups to stay organized. More details in a moment.

 

Import Instructions:

1) The EASIEST way is email your lead file to your phone, if you’re not already, and click the down arrow next to the file to download and save the file to your DEVICE DOWNLOAD folder.

2) Open the “Ultimate Sales Dialer” and Click “Create/Edit Campaigns and Contacts” then “Create New Campaign”.

3) Click “Browse”, open the DOWNLOAD folder, find the .CSV file and choose the PRIVATE option to keep contacts separate from your device Contact’s App!

Do NOT use Import/Sync Contacts from Contact Group – IF you want to keep your prospect leads separate from your device Contact’s App; again be sure to choose the PRIVATE option.

 

4) Skip The Mapper! Don’t get me wrong, the “Field Mapper” shown to the left is cool, but it’s ONLY useful when you import “other” contacts or past leads, because our lead files are READY to import, “as-is”! (See below for more details and a sample template if needed at some point.)

5) Notice that the “New Campaign” Name will be the Filename that we use. See a sample File (Campaign) name below. This makes it easy to keep track of your daily campaigns! (You can edit the name before importing if needed.)

File (Campaign) Names: “[Day][Month][Date]-[##].CSV” (i.e. ThuDec01-79.csv)

6) You can set appropriate start and end date OR leave it set at the recommended one month time period. This is to declare at one point you’ll know longer be contacting prospects in a particular campaign. This can be edited at a later time too.

7) Now just scroll to the bottom of this screen and select “Create and Load Contacts”!

NOW YOU’RE READY TO ROLL! JUST TO RUN A CAMPAIGN AND START CALLING, SENDING EMAIL AND SMS!

1) Please view settings again and make any final adjustments necessary.

2) Choose “Launch Campaign” from main page, when you’re ready to dial your contacts.

3) Select the campaign you want. They should be in chronological order. Any contacts that you’ve already contacted 3 or 4 times (depending on your main settings) won’t even queue up!

If you’ve called all contacts in a “Campaign” the minimum times, no contacts will be “Active”, so the entire campaign won’t be “Active”! (Again if you need to make all or any contacts “Active” again, from “Create/Edit Campaigns and Contacts” click the “RESET” button for a contact or “RESET ALL CONTACTS” for any campaign.)

4) Click the first Contact and click “Dial Now!”

After you’ve completed a call, click “Answered.” All the options on the first “Results Screen” will be on the next screen and more!

On the next “Results Screen” you can add notes, dispositions – call result & click to send your template email and SMS text and more! (Go back up for the details.)

A Few Very Important Points:

 

1) Sure, about 30% of your prospects provided a landline and your text message will, at times, bounce back undeliverable. Just make a note not to send SMS text somewhere in their record (i.e. notes). Make it a priority, if you’re able to connect with them, to verify their best phone number and see if you can get their mobile number.

2) When you delete a campaign, you’re deleting all the contacts in that campaign along with all their details and your notes, etc.

3) When you add or change ANY contact details in a contact record, including notes, YOU MUST CLICK THE “UPDATE” BUTTON AT THE TOP OF THE CONTACT RECORD, OR IT WILL BE LOST. Just try not using your phone’s BACK button then your only choices are “RESET”, UPDATE” and “DELETE” to go back.

4) At any point if you make a mistake or just repeat testing and yours or any contact’s attempts expire or they’re removed from queue after your initial test call and won’t come up in queue again, you CAN click the “RESET” button for a contact and they’ll be ACTIVE and in the queue again. You can also “RESET ALL CONTACTS” for any campaign. Just know the app will lose track of call attempts if you’re tracking to only call each prospect 4 times max, but does not affect any changes to contact fields.

5) Be aware of scrolling on certain screens. i.e. On the reschedule screen where you can chose x or x you can scroll down and select a custom time-frame. Another is after selecting the disposition (answered, voicemail, busy, Redial, and Do Not Call, etc. is often below the fold out of view.

6) Your app has other very handy features like remembering where dialer was left off in a given contact list (campaign) and will resume from that point, instead of from the beginning.

It also tracks your maximum # of attempts and once it gets to 3, 4 or 5, whatever you set it settings, that contact will no longer be added to the queue when you run that campaign! It will only queue contacts that have not reached the maximum # of attempts and the campaign will no longer be “Active” once all contacts have reached the maximum # of attempts and you can focus on other unfinished “Active” campaigns.

7) Keep in mind you can add, maintain and add-to your own Do Not Call list.


 

 

 

Frequently Asked Questions (FAQs):

 

1) When I import my contacts, I m getting a message “contact does not have a valid phone number “. Why is it?

Please make sure the column that contains the phone number is named HomePhone. At minimum the csv file should contain the following columns: HomePhone, FirstName and LastName. If you still experience an issue, please send your .csv file to our support team.

2) I have loaded in my campaigns. When I go to launch campaign, I see no available campaigns too launch. What’s t the fix?

Most likely reason is that end date of the campaign is already expired. To extend the end date, click the button “+ month to End date” in the campaign detail screen.

3) Not all contacts are getting loaded from .csv file into the campaign?

Most likely reason is contact name or address has a ‘ in it. For example: Steve’s Pizza. The workaround is to search and replace ‘ with empty character in Excel and save .csv file before loading it. (A fix will be available soon)

4) Having issues purchasing MobilCTI apps using carrier billing…

We can also include a Notes column and include any or all survey questions in the Notes field. We can also include a specific one that you may want to merge into your messages using the $CompanyName code. You can also type a TON of information in the Notes field for each contact.

Input your leads in Excel or Spreadsheet software, save as CSV file, then email it to your Android mobile phone for download.

As soon as you let us know, we’ll send you an extra spreadsheet file that will import right into the app! If you’re not already, the easiest way to get the file to your phone is via email. You can also get contacts from various cloud services but they must first get synced with your device contacts, unfortunately.

1. Download the Excel Template

2. Rename it and modify the contact list.

3. Copy it to your phone’s SD Card. (Alternately You can email it and then download it into Android Device. When you save the attachment, it will be saved in sdcard/download folder).

Follow instructions on top to create a new campaign or importing them to existing campaign.

Note: contact list .csv file should have at least following columns: HomePhone, FirstName, LastName
